An employment agreement is the written record of the terms agreed between a company and an employee. In India, the company commonly issues an appointment letter setting out those terms; there may also be a separate agreement or policy documents to sign. The Ministry of Labor's current guidance says appointment letters are to be issued to employees.
Company prepares the terms: HR confirms the role, joining date, work location, CTC and reporting manager.
Company sends the letter: The employee receives the appointment letter or agreement before or during joining.
Questions or changes are resolved: If a term differs from what was discussed, ask HR to correct it in writing before signing.
Both sides accept: An authorized company representative signs or issues the document, and the employee signs or accepts it through the company’s process.
Copies are kept: The company stores a copy in its HR records, and the employee should receive a copy too. HR then completes onboarding, such as payroll and employee ID setup.
