An employee ID usually means two things: a unique number in the company’s HR system and a physical or digital ID card. HR normally creates them after the candidate accepts the offer and completes joining formalities.
Collect joining details: HR records the employee’s name, joining date, department, job title, work location and required documents.
Verify the details: HR checks the documents and confirms that the person has joined.
Create the employee record: HR enters the details into the company’s HR system. The system assigns a unique employee number, such as EMP-10425.
Set up work access: IT creates the official email and gives access to systems needed for the role. Office or building access is set separately.
Issue the ID card: The authorized team adds the employee’s photo, name and employee number to the company’s card format, then prints or activates it.
Hand it over: The employee receives the card and instructions for using it. HR keeps a record of when it was issued.
The exact checks and card format vary by company. Only the company’s authorized HR or administration team can issue a valid employee ID; an ID card by itself does not prove employment.
